ABSTRACT

The Main objective of Web Based RPS is to develop an online and central Recruitment Process System for the Human Resource (HR) Department. The feature of this system is to display vacancies, storing Applicants (persons applying for a vacancy) data, Interview process initiation, Scheduling Interviews, Storing Interview results of the applicant and finally hiring the applicants as per requirement. This project acts as an interface between the job seekers from different geographical locations and the organization to minimize the time span of the hiring process.

The front page of this system will be exposed to the applicants where they can login and get the information about the required job in the required field based on their ability and qualification(s). The essential modules of the Web Based Recruitment Process System (RPS) are as follows:

The Generic Module: This module mainly contains the home page of the project  Viz, The login form, authentication and new applicant Registration.

The HR Group Module: This module deals with the management of applicants and vacancies based on their requirements.

The Interviewer Module: This module deals with the scheduling of the Interviews, applicants and the interviewer.

There is a Human Resource groups who will maintain records of vacancies, applicants, initiate interviews and close vacancy. There are interviewers who will be intimated about the interview schedule and finally enters the result. The rest of the tasks deals with the applicant-vacancy data, exception handling, provides accurate information about the place and time of interview as per the vacancies to the applicant.

 This system provides automatic notification about the availability of jobs to the eligible applicants. Once all these job openings are filled and people are hired, the vacancy will be closed by itself.

INTRODUCTION

Today, in this competitive world seeking a job has become a difficult task for the unemployed people. Employment and Hiring eligible people has became a major concern for Organizations. Businesses appreciate the importance of their efficient employees and consider them as a valuable asset. The use of the Off line Recruitment Process System has been a problem for the organization as wells as the HR (Human Resources) of the company. Making the Recruitment Process System On line makes it available to authorized user as well as the new job applicants when they need it and in a way they can use this system. Every individual who is eligible is authorized to use the system and is granted access only to designated screens of the system.

In the present system, the applicants need to go through the newspapers or magazines to find out the number of vacancies available and if they find any of them, again they need to go to the respective companies or organizations to drop their resumes then the HR group of the company will again setup a schedule for the interviews, the applicants will be informed about the details of the interview for which the applicants need to come to the particular place where interview is scheduled and after this the interview goes on and the selected candidates in the first round are short listed and short listed candidates are again called for another round of interviews. As far as the recruitment is concerned off line based methods are employed like the HR appoints a consultancy and the consultancy needs to refer the candidates, the applicants needs to depend on consultancy.

Our proposed system RPS is aimed at developing a web-based and central Recruitment Process System for the HR Group for a company. The generic module of this system deals with the login page, here the applicant as well as the HR of the particular company logs into the system by entering the password provided for them. The HR Module will be dealing with the HR of the company, here HR will create vacancies, create applicants, initiate interviews and close vacancy. The Interviewer module deals with the scheduling of the interviews. He/she can able to view the details of the applicants as well as the details about the vacancy. The Interviewer can search on Interview Date, Applicant Number and Vacancy Number and any changes the required information. Other than these three main important modules the rest of the system deals with the Database designing.

Scopes and Purpose of the Project:

Purpose of this Project is:

·         To develop a web-based and central Recruitment Process System for the HR Group for a company.

·         To provides automatic notification about the availability of jobs to the eligible applicants

·         If once all the job openings are filled and people are hired, the vacancy will be closed by itself.

Scope of the Project is:

·         Dynamically the Database withstands the increased in the number of applications received from the applicants.

·         People all over the world through Internet can use it.

·         It provides better functionalities for both the organization and the applicants.

Existing System

In On line Recruitment Process, the above said problem is resolved as everything which is done manual now will be done on line and the organization and the applicant can save time and getting a job as well as hiring people respectively. The above said problems leads to our innovative perception in Hiring – ONLINE RECRUITMENT PROCESS SYSTEM.

Proposed System

Our proposed system RPS is aimed at developing a web-based and central Recruitment Process System for the HR Group for a company.

The Generic Module:

The generic module of this system deals with the login page, here the applicant a as well as the HR of the particular company log’s into the system by entering the password provided for them and if they enter an invalid password thrice then they gets blocked in this way the security is provided for applicant as well as for HR (Human Resource). As soon as the authentication is done the welcome message is displayed the Name and Identity number of the person. After he/she log’s into the site he/she is provided with an option to change his/her password and also an Edit profile option so that

he can perform the necessary actions corrections. He/she is also provided with the Help option in every screen so he/she doesn’t fall in trouble at any stage of surfing.

The HR Group Module:

This Module deals with the HR of the company the HR’s will create vacancies, create applicants, initiate interviews and close vacancies. They are also provided with an Edit applicant option to change any of the editable details for the applicant and search can be made to find Applicant Number and Vacancy Number. Here in this module the HR’s are able to schedule the interview and enter details of the interviewer, concerned HR can do date, time and even postponement or they can cancel the interview. But, the HR who has created the vacancy can only perform the changes on that particular vacancy he cannot do any type of changes, which is not owned by them.

The Interviewer Module:

This module deals with the scheduling of the interviews. The Interviewer will be able to view the details of the applicants as well as the details about the vacancy. The Interviewer can search on Interview Date, Applicant Number and Vacancy Number and any changes that are needed can done regarding the scheduling of the interview. These all are covered in this module.

Other than these three main important modules the rest of the system deals with the Database designing and also with the connectivity as per the requirements i.e. storing and retrieving the content of the Database.

Program Modules

The project is divided into three modules. The first module deals with the general properties of the system like the login and authentication of the user, Secondly the HR module deals with the information that is required for HR of a company like the number of applicants, the vacancies, the resumes of the applicants etc. and the last module i.e. the Interviewer module deals with the information that is required for the interviewer like the date, time and place of the interview....

The Generic Module

The Generic module of the Recruitment Process System consist of the following as follows:

·         Login to the system through the first page of the application.

·         Change the password after login to the application.

·         See his/her details and change it.

·         If selected he/she has to attempt the online test on specified date

·         Checks the message from the company

·         Help from the system.

The Human Resource (HR) Module

The Human Resource (HR) Module of the Recruitment Process System consist of the following as follows:

·         Can create a new vacancy.

·         Can change any of the editable details for the vacancy as well as the applicant.

·         Can create a new applicant.

·         Can search for an Applicant Number and Vacancy Number.

·         Can schedule the interview and enter details of the interviewer and date/time.

·         Can postpone or remove the interview which is owned by him.

·         Creating online test paper and schedule of the test

·         Reporting to the selected candidates

·         HR person cannot ‘close’ the vacancy, which is not owned by them.

This Module deals with the HR of the company the HR’s will create vacancies, create applicants, initiate interviews and close vacancies. ·         Can search on Interview Date, Applicant Number and Vacancy Number.

·         Conducting test to the selected applicant

·         Has the access to change the Interview details – Date/Time, Status (Selected/Rejected).

This module deals with the scheduling of the interviews. The Interviewer will be able to view the details of the applicants as well as the details about the vacancy. The Interviewer can search on Interview Date, Applicant Number and Vacancy Number and any changes that are needed can do regarding the scheduling of the interview. These all are covered in this module.

Other than these three main important modules the rest of the system deals with the Database designing and also with the connectivity as per the requirements i.e. storing and retrieving the content of the Database.

Processor: Pentium I.

Speed: 100 MHz.

Primary Memory: 32MB RAM.

Network Interface card: PCI/ISA Ethernet or MODEM.

The above-specified requirements are the minimum required to run the application.

Software Requirements

Languages Used: JSP, HTML, and Postgresql, JavaScript.

Platform: Linux (or) Windows NT/Me/2000/Xp/98/95
